EXECUTIVE SECRETARY

Position Summary

The position within the College of Education and Human Service’s Counseling, Educational Leadership, and Higher Education department provides advanced administrative and operational support to the unit including handling substantive administrative details and duties for a supervisor. This individual serves as primary support for faculty and students within the unit and is the first point of contact for the office.

Required Qualifications

High school diploma or GED.

Four years of qualifying experience or a combination of education and experience that equates to four years.

Experience with Microsoft Word.

Customer service experience.

Spreadsheet and/or database experience.

Organizational skills with strong attention to detail.

Demonstrated positive interpersonal skills.

Effective verbal and written communication skills.

Ability to project a positive attitude.

Ability to manage multiple projects and meet deadlines with accurate results.

Ability to compose, proofread and edit correspondence.

Preferred Qualifications

Ability to perform the essential functions of the job.

Advanced skills and resourcefulness related to data collection and reporting using university databases such as SAP, Data Warehouse, and other specific database systems.

Evidence of proficiency in Adobe Suite and Microsoft Office suite especially, Microsoft Teams, Excel, and Adobe Acrobat Pro, or other forms of data reports.

Demonstrated willingness to further develop skillset for personal professional growth and in support of organizational growth.

Exhibits a commitment to CMU’s leadership standards and service excellence.

Established experience with the university curricular process.

Exhibits high degree of interpersonal skills and self-motivation.

Ability to perform duties with a degree of autonomy.

Duties & Responsibilities

Serves as primary administrative support for the department chairperson and faculty.

Provides day-day-day financial support for the department including cost center reconciliations, expenditure tracking, fund transfers, purchasing, payables, and reimbursement vouchers.

Oversees the daily and routine operations of the office including maintaining supply/equipment inventory, copier/equipment maintenance, specialized space and facility maintenance needs.

Uses ActivePay to maintain and update CMU Business Card transactions and cost center assignments.

Prepares and reconciles personnel-related transactions including department payroll, personnel transactions for on-campus and Global Campus assignments for faculty, staff, and graduate assistants.

Maintains student records and ensures compliance with retention standards and related HIPAA/FERPA regulations.

Works collaboratively with department chairperson in preparing/maintaining course schedules according to University procedures and timelines.

Provides exceptional student support related to program inquiries, course enrolling, major/minor changes and other student-related matters.

Provides academic program support to departmental programs including processing of applications/materials, registrations, and utilizes student-based programs such as Degree Progress.

Uses organizational skills to process and track graduate student applications, credentials for admission, and the comprehensive exam process.

Initiates, as needed, student internship affiliation agreements between the university and agency.

Uses various databases such as SAP and Data Warehouse to report and analyze enrollment and financial information.

Supports and assists faculty with sponsored projects or initiatives internal/external to the university.

Assists in the planning and execution of department/program-related events such as trainings, workshops, or recognition ceremonies.

Serves as the recording secretary for departmental committees.

Serves as the direct supervisor for student employees.
