How can you ensure effective communication between remote team members in Agile planning meetings?

One thing I have found helpful is to revisit these rules, or team interpersonal norms, on a regular cadence. As team members join or leave, or as the mission of the team shifts from deliverable to deliverable, taking time to reflect on how communication and collaboration should evolve is essential. As part of this exercise, it is important to review documented patterns that foster information flow, and guide the team to iterate practices or processes that are impeding healthy conflict.

One thing I found helpful is, sending MOM after every meeting so that the team is up to dated on others progress and updates. Even if they were present, MOM gives a clearer picture of what was discussed.

- Set agenda at first, explain the coverage for the day - Share reliable tools (Zoom, Teams, Miro, Azdo, Jira) - Get everyone on Cam which is a must - Get everyone to express by round robin method - Set times for each sub agenda item be on time - End with summary and action items to follow

In addition to setting the ground rules of communication and guidelines to work together actively, one must attempt to engage and involve all key stakeholders in backlog refinement events and right from making readiness of backlog for upcoming releases or sprint, so no surprises would happen in those planning meetings. Distribute the work as well according to their role. This will make every one attentive to contribute as planned.

First, we need to make sure that all team members, product managers are available for the meetings on time, also availability of all team members will ensure that all features' concerns are addressed during the meetings. If all team members adopt for video conferencing that will have advantage in understanding their points. If anyone has points to mention on particular topics make sure its heard and addressed. Separate meetings should be arranged for topics needing deep discussion. Product manager should be able to give insights on overall products and stories.

Choose tools that integrate seamlessly with each other. This will also minimize the need for context switching and allow information to flow freely between platforms. Finally, don't underestimate the power of simple tools like shared documents or online whiteboards for brainstorming sessions.

Video conferencing tools are really useful when it comes to planning sessions between onsite and remote team members. Tools like Miro are also very helpful for collaborative planning, designs, flow diagram and note taking. It really brings planning considerations to live and helps everyone understand the goal better and focus on the discussion going on in the session.

Enabling the team to keep the meeting short, via mentoring, is essential to increase the effectiveness of those meetings, by reducing the amount of information the team has to absorb

Regular check-ins are always essential to ensure that remote team members are on the same page at all times.These frequent touchpoints help keep everyone aligned and provide opportunities to address any issues or misunderstandings promptly. By maintaining consistent communication, team members can share updates, clarify objectives, and coordinate their efforts more efficiently. This practice fosters a sense of connection and collaboration, even when working remotely, which is vital for the success of agile planning and project execution.

One of my favourite recommendation is to inteoduce a daily question. Use your daily standup meeting to ask one check-in question each day. You can let each team member chose the questions in turns. Some of my favourite questions are: - Which would be your supperpower? - How do you eate icecreame? - What would you do with 1 hour more each day? - What was the longest you were not sleeping at all? You can find plenty of inspirational check-in questions online. Or try to come up with questions related to your team. Maybe something that came up in a meeting or during a coffee break.

I highly recommend the adoption of SPRINT for SCRUM teams, as they are fixed blocks of work (weekly, fortnightly or monthly) that end with moments of adjustment and reflection, when the team carries out a review of technical deliveries and a retrospective on interactions, processes and tools, learning from mistakes, and insights. It's the perfect time for feedback!

When working remotely, it can be difficult to gain trust of all the members of the team. To facilitate trust and understanding, it's important to have open discussions and let everyone voice their opinion to let them know that they are heard and are an equally important member in the team.

Understand people’s motivations and needs in order for the team to work towards its full potential. Individual check ins and appropriate praise are a key supplement to regular team meetings and team building. Encourage equal voices.

I think having your cameras on makes a big difference. Seeing each other's facial expressions helps foster discussion, and it also helps you get to know your colleagues as real people.

Open dialogues with the whole team has lot of prework before the 1st sprint starts. Understanding the personalities , strengths and weaknesses of each member with rapport building can go a long way in letting the team open up and have a say in sprint ceremonies. Having regular one to one with team members can further help in building trust and openness which definitely pays off in the long run.

In my experience visual collaboration is an effective way to have a remote sprint planning. Allows to enhance communication and collaboration during then planning. Using mural or miro would help you can include the agenda and organize the session visually so everyone is involved and understand how the session would go. Include some icebreakers and breaks during the session and ask people to turn on their camera.

For visual collaboration we must ensure inclusive participation by following the below points Facilitation: Have a facilitator to guide the meeting, ensure everyone has an opportunity to speak, and keep the conversation focused. Rotation: Rotate the role of the meeting facilitator among team members to ensure diverse participation and perspectives. Use Hand-raising Features: Many video conferencing tools have a hand-raising feature to help manage turn-taking and ensure that everyone is heard.

I recommend the practice of visual management through a Kanban Board, with its principles and practices, which guarantee greater effectiveness and standardization, the secret to efficient visual management.

Start meetings with quick ice breakers to build rapport and set a positive tone and facilitators should use breakout rooms for smaller group discussions during larger meetings to facilitate more in-depth conversations.

An example I have seen is trusting the resources by giving them timelines to complete the specific task . It's not about checking each hour if the resources are working or not since they are working on a remote working model . Everyone has their responsibility, but on the other hand there are scenarios where some take shelters of one who works dedicatedly. Be it remote or in the office , one who works will always be dedicated towards the same .
